Managing your UCAR Email Account

Enable forwarding for your UCAR GMail

As a new employee you have a UCAR Google Apps email account and other applications. To get all of UCAR's internal email (i.e., time card reminder) as well as emails sent to all CPAESS off-campus staff, you will need to either read your UCAR email or enable forwarding to send it to another email account.  To set up your UCAR account and enable forwarding see the instructions below.

  1. Log In To Google Apps To go directly into your Google email account, click on the following link and log in: https://mail.google.com
    1. Enter your email address (“yourusername”@ucar.edu)
    2. Password = your CIT password that you set when you received the UCAS information.
  2. Enable email forwarding or proceed with using your UCAR Google Apps Account a.
    1. Enable Forwarding
      1. On your computer, open Gmail using the account you want to forward messages from. ...
      2. In the top right, click Settings.
      3. Click Settings.
      4. Click the Forwarding and POP/IMAP tab.
      5. In the "Forwarding" section, click Add a forwarding address.
      6. Enter the email address you want to forward messages to.

CPAESS Travel Procedures

UCP COVID-19 Travel Request Form

Please fill out the UCP COVID-19 Travel Request Form (a Word doc) first before the CPAESS Travel Request Form found below.

Domestic Travel: UCAR employees can travel domestically to meetings and conferences, but must obtain approval first from their Lab/Program/Center/Office (L/P/C/O) level. UCP has created the attached UCP COVID-19 Travel Request form that all UCP|CPAESS employees must complete and have approved before a UCAR Travel Request can be approved. Please follow the steps below to insure a smooth process:

1) Complete the above UCP Covid-19 Travel Request Form and send it to your CPAESS supervisor Kendra Greb (kgreb@ucar.edu) for signatures. 

2) Next submit the CPAESS Employee Travel Request Form.

International and/or Field Work Travel: All international and/or field work travel requests require a more in-depth approval process that includes a review by UCAR's Health and Environmental Safety Services team and approval by UCAR President Tony Busalacchi. Please contact your supervisor and Michelle McCambridge (mmccamb@ucar.edu) if you are planning any trips of this sort. The entire approval process can take 2-4 weeks to complete, and we cannot purchase airline tickets until approval has been obtained. Identifying delegates

Before we can create your trip or book any of your flights for your trip, we will need for you to log into the Concur travel system and add delegates on your Concur Profile. 

You may log into Concur at the following link, using your CIT password:

Once you have logged in, please proceed to selecting delegates within your profile by following these steps:

1. Click your Profile menu in the upper right corner of your screen. 

2. Click on the Profile Settings link.

3. Once inside the Profile Settings, click either the Expense Delegates link in the menu along the left side of your screen.

4. Click the Add button.

5. Search for the following CPAESS employees to add as your delegates:

    • Kendra Greb (kgreb@ucar.edu)
    • Michelle McCambridge (mmccamb@ucar.edu)
    • Inken Purvis (ipurvis@ucar.edu)

6. Select your delegates from the resulting list.

7. Check Mark the following boxes: Can Prepare, Can Book Travel, Can Submit Requests, Receives Emails, Can Approve, Receives Approval Emails

Proposals & Purchasing Procedures

Procurement

To purchase any goods or services, prior approval must be obtained by Kendra Greb, kgreb@ucar.edu.

For purchases under $500.00, employees can pay for the purchase themself and request reimbursement or CPAESS can pay for the purchase by credit card.  Employees will not be reimbursed for goods that are shipped to their home address. 

To purchase any goods or services valued at or over $500.00 you must submit a quote/estimate of costs to Kendra Greb, kgreb@ucar.edu at least two weeks prior to when the good/service is required.  CPAESS will then create a formal Purchase Request and a Purchase Order (PO) will be issued for payment.

POs are contractual arrangements issued by the UCAR contracts office upon receipt of a Purchase Requisition to vendors for goods and services. POs provide protection to UCAR in the event a problem arises by providing remedies in the terms and conditions agreed to in advance by both parties. POs should be used for all purchases over $500.00.

Proposal Submission Process/Procedures

Because of the short-term nature of Postdoctoral Fellowships appointments, post-docs are generally not eligible to be a PI on a UCAR proposal unless a specific sponsor announcement requires that a postdoc serve as the PI (e.g. NSF Postdoctoral Fellowship), the work is specific to that postdoc, or the project would be finalized within the timeframe of their current UCAR employment. Post-docs may be allowed to serve as PIs with the stipulation that a senior UCAR staff member (Hanne Mauriello, CPAESS Director) be designated as Co-PI.  For these situations, postdocs should contact Kendra Greb, at kgreb@ucar.edu, and Julie Cross, at jcross@ucar.edu, before making this type of commitment.  Please check with Kendra or Julie before requesting to be affiliated with UCAR in the NASA NSPIRES, NSF Research.gov systems, or any other system.
